The Pass

Intro

The Pass is the primary vehicle for people to check in and navigate your week(end) of events.

The pass contains:

  • the QR code used to check in and get a name tag (which can also be used in lieu of a printed tag)

  • the check in blurb (as configured for the registration group)

  • the personal schedule for the registrant

  • times, dates, and locations (with Google Maps links as appropriate) for each event

  • the confirmation note (if provided) for each event visible by default

  • the event description for each event, collapsed by default (because they can be lengthy)

  • easy access to the QR code and schedule for all other party members

  • easy access to self mod for the primary registrant

How do you get there?

  • from the confirmation email

  • from a scheduled email that includes the Check In button

  • from the confirmation page

  • from the View the Pass link on the admin reservation view screen

Basically anywhere we include a Check In button we'll take you to The Pass.

How is this helpful?

  • the QR codes have appropriate whitespace around them for fast, easy, reliable scanning

  • the check in blurb can be updated at any time with assurance that all participants will see it

  • the event times and locations can be updated at any time for the same reason

  • the registrant has a live schedule in the palm of their hand

Configuration Considerations

Registration Group - Check In Blurb gains quite a bit of visibility. Because of that, and this new use case:

  • do not center the text

  • keep it focused on when and where to check in

  • remember it'll be viewed primarily on mobile devices

Event - Confirmation Note is now conditionally automatically visible on the personal schedule. Make sure those blurbs are relevant and necessary. In most cases you probably don't need one at all. Remember the bulk edit function exists under Manage Events to make a quick sweep very easy to do!

Event - Description used to only be shown on the public schedule of events and inside of the registration process. Now we're making it visible (again) in the personal schedule. A clean sweep here is a good recommendation as well.

Scheduled Emails

Simply select the dropdown to INCLUDE the Check In button to make The Pass extremely easy to access from ANY email comms you send out from AlumnIQ! It'll make check in a breeze.

Future Additions

Step one is making this a routine part of the registrant experience. With that addressed we'll be exploring:

  1. Add to Apple Wallet/Google Wallet for the QR codes

  2. Inclusion of timely announcements in the Pass UI

  3. Add to calendar for each/all events (depending on your calendar of choice)

  4. Send My Pass/Share My Pass features within the Pass itself

Getting out of the inbox and back to the web gives us a LOT more room to innovate and communicate with your attendees, a feature you're sure to embrace eagerly.
