AlumnIQ's signature event service facilitates the solicitation of a single-fund, one-time gift from registrants.

How does it work?

If active, the primary registrant (the one doing the registering on behalf of the party) will be presented with a standalone step during the registration process to make a gift. It follows the package/event selection step (and, if active, housing).

The gift is a one-time, one-fund gift. We do not support recurring or installment gifts, nor do we support gifts to multiple funds. It's intentionally, deliberately simple.

Additionally, potential donors will have to choose from a pre-defined set of funds; we do not make available a text box for donors to type in a fund name.

If the primary registrant makes a gift, at checkout they will enter their payment information once and we'll run two charges: one for the gift, another for the balance of the registration fees.

Once you or your gift processing team receives notice the gift has been paid for, you can confidently book, acknowledge, and receipt it using your own in-house process. We do not permit refunds of gift transactions via AlumnIQ - all control is yours from checkout forward.

The Ask

The way you present the Give step can be customized in the following ways:

  • Add custom text to the gift step with your case for support

  • Set the minimum gift amount

  • Add multiple fund options, presented in a dropdown menu (and set the display order)

  • If desired, show a priority fund as pre-selected in the dropdown menu

    • Donor always has the option to choose a different one

  • Add a 'last ask' blurb on the Review step

    • Shown only if the donor does not use the Give step

  • Set the 'last ask' amount on the Review step

    • Easily adds a gift of that amount to their total without going back to Give step

  • Donor can make changes to amount and fund anytime before checkout

Acknowledgement

If a gift is made during registration, a separate content area can be initiated in the confirmation email to acknowledge the gift and/or include any official tax receipt language, or anything else you’d like to say to donors. There are no tokens available to personalize the content; it’s a general statement that all donors would see.

The confirmation email can serve as an official tax receipt if that language is included here. The gift amount is displayed separately from any registration fees in the transaction summary.

Reconciliation/Reporting

To make it easy for whoever will be reconciling the gifts, review the following settings:

  • Add a unique appeal code to track these gifts

  • Send a gift report either daily or weekly by email

  • Specify a subject line to easily identify the report

  • Include multiple recipients to receive the report (or use a shared inbox!)

  • Gift reports can also be run manually at any time

  • Gift transactions will show separately from registration transactions in your payment gateway - see Transactions below for more

If your institution has the capacity to use an API to ingest the gift data, gifts can be pulled in as often as you like. Please file a ticket with AlumnIQ to start the discussion.

Reports

If you need to get an instant report at any given time, use one of the following:

  • Contributions/Donations - gifts only

  • Transaction Reconciliation - this includes both gift and registration fee transactions, and can be filtered by type

Confirmation codes from your payment gateway are included in both reports.

Getting set up (quickly)

  1. File a ticket to request the AlumnIQ team activates the Give step and adds your desired Gift Funds

  2. Provide us with a unique code and label for each fund. The label is exactly what will show to the potential donor, and the codes can be formatted however your institution formats them, and should be consistent

  3. Once confirmed the gift funds are active, go to Setup->Org Configuration->View Registration Group, and scroll to the bottom of the page, past any packages

  4. In the Registration Group Fund Options section, choose a fund from the dropdown menu, set the display order (use integers >0), and tap the green ‘Add Fund’ button. Repeat this process for all funds you want to include.

  5. If you would like a priority fund to be pre-selected, check off the ‘Select this by default’ button for the fund you want

  6. Go to Setup->Org Configuration->Edit Org to set the custom text for the page, minimum gift amount, and ‘last ask’ settings

  7. Go to Setup->Org Configuration->View Registration Group->Edit Registration Group->Gift Receipt Blurb to add any thank you content and/or official receipt language

What does it look like?

On the Give step, your gift page blurb displays above an open text box for amount, as well as the dropdown menu of fund options.

On the Review step, the Last Ask will display only if a gift was not made yet. If a last ask amount is specified, the registrant can choose a fund and add the amount easily to their total, without having to go back to the Give step.

Where do I update ______?

At the Master Event level (Setup->Master Event Config->Edit Master Event):

  • the appeal code attached to all gifts

  • the frequency of gift report delivery by email

  • the subject line of that email

  • the recipient(s) of that email

At the Org level (Setup->Org Configuration->Edit Org):

  • the text at the top of the Give step (Gift page Blurb)

  • the minimum gift amount

  • the 'last ask' blurb on the Review step

  • the 'last ask' amount on the Review step

At the Registration Group level (Setup->Org Configuration->View Registration Group->Registration Group Fund Options):

  • the fund options presented on the Give step

  • the display order of those funds

At the Registration Group level (Setup->Org Configuration->View Registration Group->Edit Registration Group->Gift Receipt Blurb):

  • the thank you content and/or receipt language for the confirmation page and email

Transactions

AlumnIQ supports the use of a separate payment gateway for gifts, if you have one. It does not need to be the same type as the registration payment gateway, i.e. registration can use Cybersource and giving can use Stripe.

We transact gifts separately from, and always before,registration fees. The registrant/donor only enters their payment information once.

The gift report data includes your gateway confirmation codes for easy reconciliation.

To add a payment gateway, please file a ticket and AlumnIQ will provide you with a secure way to provide us with the keys to connect your gateway.
