Giving

AlumnIQ's signature event service facilitates the solicitation of a single, one-time gift from registrants.

How does it work?

If active, the primary registrant (the one doing the registering on behalf of the party) will be presented with a standalone step to make a gift that follows package/event selection (and, if active, housing).

The gift is a one-time, one-fund gift. No we don't do recurring, nor do we support gifts to multiple funds. It's intentionally, deliberately simple.

At checkout the registrant will enter their payment information once and we'll run up to two charges: one for the gift, another for the balance of the registration fees.

Once you or your gift processing team receives notice the gift has been paid for, you can confidently book, acknowledge, and receipt it using your own in-house process. We do not permit refunds of gift transactions via AlumnIQ - all control is yours from checkout forward.

What can you control?

Master Event

  • the appeal code attached to all gifts

  • frequency of automatic gift report delivery (Excel via email)

  • the subject line of that email

  • the email addresses of the recipient(s) of that email

Org

  • text at the top of the gift step

  • the minimum gift amount

  • the 'last ask' blurb on the invoice screen

  • the 'last ask' amount on the invoice screen

  • the thank you/receipt blurb for the confirmation page and email

Registration Group

  • the fund option(s) presented on the gift step including their order

Getting set up (quickly)

  • File a ticket to request the AlumnIQ team activates the gift step

  • Org Configuration > Gift Funds and add funds (with codes) into the system (sensitive setup role required)

  • Org Configuration > View Registration Group, scroll to bottom: map fund(s) into the registration group(s) in whatever order desired

  • Org Configuration > Edit Org to update the Gift Intro for the registration flow

The basic idea is the same as we treat events: a standard library of funds, selectively presented to the registrant based on their registration group selection. You define this in the configuration.

Transactions

AlumnIQ supports the use of a separate payment gateway for gifts. This does not need to be the same type as the registration payment gateway.

We transact gifts separately, and first, before any registration fees are collected and transacted. The registrant/donor only enters their payment information once.

Reporting

Gift reports can be delivered:

  1. Nightly via email - configure under the Master Event

  2. On demand - log in, go to Reports, select Gifts, set filters and go

  3. Via API - /gifts can be pulled as frequently as you like

Reconciliation of gift transactions can be done from the gift report data (your gateway confirmation codes are included) or the transaction reconciliation report.
