Batch Printing

Don't do this.

But if you have to, here's how it's supported.

What is this?

Sometimes it's just not worth the effort to take a field trip with a print kit to deliver name tags for a handful (up to a couple dozen) people. You're willing to forego the convenience of live printing to lighten your load and/or accommodate a less than ideal check in venue.

Batch printing makes it possible to print name tags for everybody not yet checked in for a given event, efficiently and quickly.

Consequences and Considerations

  • attendee can not self print after being printed in a batch

  • will only print those who have not already been printed

  • will mark them as checked in to the master event

  • can only be run on a per-event basis (not for an entire master event, org, nor registration group)

  • puts the onus on you to UNDO the check in if (when) the name tag is not picked up

  • obviously you can't fix/amend a name tag on the spot like you can when printing individually (so pack a sharpie!)

We strongly recommend using event scanning to use as a helpful proxy for name tags actually picked up and persons attended.

Because batch printing by definition removes the attendee from being personally present at the print station, all we have is your memory to rely on - and during a busy weekend that's hard to keep straight!

Multiple "live" name tags in circulation for an attendee could result in free access so please keep a firm grip on what you print.

Required Configuration

  • one AlumnIQ check in station configured as a remote print RECEIVER

  • one laptop of your choice (yours or ours) configured to print to the receiver that we'll call the INITIATOR

Receiver Setup

  1. Log in

  2. At the bottom of the sidebar click on print settings.

  3. Allow others to print here? YES.

  4. Send print jobs to: the printer attached here.

  5. Save Settings

  6. Take note of the station name. It's in the format color-animal. Cute, right?

Initiator Setup

  1. Log in

  2. At the bottom of the sidebar click on print settings.

  3. Allow others to print here? NO.

  4. Send print jobs to: the color-animal you noted from the receiver setup.

  5. Save Settings

To Print

On the initiator station, pull up the event registrants report.

Click superadmin tools.

Select batch print, make sure you read and understood the consequences, then approve the job.

Name tags will start to print on the receiver within a few seconds.

The registrants you just printed will not instantly appear as checked in. The event registrants report runs from the reporting warehouse that refreshes every ~15 minutes.

As long as the tags printed you're good to go.

Afterward/Cleanup

Take the physical name tags that were not picked up. Go into the registration record for each person, verify they werne't marked as checked in for any event (the checked box appears next to each event on their record) and select [undo checkin]
