Express Registration

Express registration allows constituents to register for events with the absolute minimum of interaction. There are several pre-requisites for an event to be eligible for express registration; and we must also have a guaranteed identification of the constituent.

Eligibility

In order to be eligible for express registration:

  • The "Allow express registration" setting in event setup must be checked

  • The event may have only one active fee

  • There may be no (0) products configured for the event

  • All activities must have no (0) sections

  • All activities must have no (0) options

  • All activities must have 1 or fewer active fees

Membership Module integration

If your school uses our Membership module, it plays nicely with express registration. As long as your event has no more than one each non-member and members-only event fees, and all of its activities have no more than one each non-member and members-only fee, they will be used appropriately and express registration will be allowed.

Constituent Identification

There are two ways that a constituent is identified when registering for an event:

  1. They have authenticated with thier profile (email/password)

  2. They followed an invitation link sent by the AlumnIQ email marketing tool. (This will include an "mc" parameter in the URL which identifies the recipient.)

If both of the above are true, the authenticated account takes precedence over the URL-based identification.

How it works

If all of the above criteria are met, when the constituent clicks the "Register Now" button from the event's landing page, they will skip all intermediary steps in the reigstration process and be taken straight to the invoice summary screen, where they can verify the details of their registration, add a gift if the option is enabled, and pay any balance due. Note that even for free events, constituents are required to click a Continue button to confirm their registration. We will have selected "Attending" for every activity in the event on behalf of the constituent.

If money is being collected, the constituent will be required to provide a mailing address. Some payment gateways require address information to verify payments, and sometimes the school will elect to require an address even for free events as a means to keeping records updated. In either of these cases, the address fields are displayed on the invoice summary screen. If the address is already known, whether via profile or warehouse record, it will be pre-filled. If no money is changing hands and the school has chosen to allow it, address fields will be hidden.

What it doesn't do

Express registration is all about the fastest path for a single person. To accomplish this, it skips the registrant info (because we already know who they are) and party screens. If event configuration allows for it, guests can still be added from the invoice summary screen, but the goal is to get the constituent to that summary screen as quickly as possible.

How do I know if my event is eligible?

In AlumnIQ Admin, while viewing an event (click on its name from the Setup screen), one of the information pods will include an "Express Registration?" flag. If your event is eligible, a green "Yes" marker will appear next to it. If not, the marker will be yellow and say "No." It will also show you the reasons for which your event is not eligible. The potential reasons are:

  • Event Setup - The "Allow Express Registration" checkbox is un-checked.

  • Event Fees - The event has more than one active fee.

  • Surveys - The event has one or more survey questions configured. (as of 10/2020 this is no longer a restriction)

  • Product count - The event has one or more active products.

  • Activity Sections - The event has at least one activity with one or more sections.

  • Activity Options - The event has at least one activity with one or more options.

  • Activity Fees - The event has at least one activity with more than one active fee.

  • These two only apply if your school is using our Membership module:

    • Event Fees (for members) - The event has more than one active members-only fee. (Only )

    • Activity Fees (for members) - The event has at least one activity with more than one active members-only fee.
